Clinic Policies

At The Beauty Extract, our focus is on delivering results-driven treatments in a professional, supportive environment.

To ensure consistency, safety, and the highest standard of care, the following policies outline how we operate as a clinic and support both your experience and our team.

Parking

There is limited parking available surrounding the salon. We recommend allowing extra time prior to your appointment to find a suitable park and checking all signage for time restrictions.

  • 1-3 Hour Parking available in slip lane in front of our Clinic
  • 2 Hour Parking in Neighbouring Streets (Nurlendi Rd + Beaumont St)

Please note that parking can be more limited during school drop-off and pick-up times (approximately 9:00am and 3:15pm–3:45pm) due to nearby Vermont Primary School. We recommend allowing extra time during these periods.

If you arrive early, you are welcome to relax in our reception or courtyard area.

As each treatment is tailored to the individual, appointment timings may occasionally run slightly over to ensure a thorough, unrushed experience.

Public Transport

We are easily accessible via public transport:

  • Train to Mitcham Station
  • Bus 738 (Stop 4) towards Knox City → Frances Ave / Boronia Road, Vermont
  • Bus 736 (Stop 5) towards Blackburn → Terrara Road / Canterbury Road
Communication

Our SMS reminders and correspondence are sent via an automated system.

Please note:

  • SMS replies may not always be received
  • We can not send or receive any images or attachments via SMS

Booking Deposits

A non-refundable booking deposit is required to secure all appointments.

Deposit amounts are as follows:

  • Cosmetic Tattoo (Initial Appointments): $200
  • Cosmetic Tattoo (Follow-Up Appointments) + Skin Treatments: $50
  • All other services: A portion of the treatment cost

Your deposit secures your appointment time.

Deposits are non-refundable but are transferable with adequate notice in line with our cancellation policy.

Booking Confirmation

Appointments are only confirmed once your booking deposit has been received.

  • Phone bookings: You will receive an email with a secure payment link
  • Online bookings: Requests are reviewed prior to confirmation
  • You will recieve confirmation of your appointment via SMS + email 3 days prior to your appointment.

If your deposit is not received, your appointment may be declined.

Payment Methods

We accept cash, EFTPOS, Visa, Mastercard, American Express, and AfterPay.

Cancellations & Rescheduling

We kindly require:

  • A minimum of 24 hours’ notice for all appointments
  • A minimum of 48 hours’ notice for cosmetic tattoo bookings

Changes made within this timeframe will result in forfeiture of your booking deposit.

Cancellations within 4 hours or failure to attend your appointment may result in the full treatment cost being charged.

Running Late

If you are running late, please notify us as soon as possible.

A 15-minute grace period applies; however, your treatment may need to be adjusted to fit within the remaining time.

Arrivals beyond this may require rescheduling, and applicable fees may apply.

Changes to Booked Services

If you wish to change your booked service, we ask that you notify us as early as possible.

Changes made within:

  • 24 hours (general treatments)
  • 48 hours (cosmetic tattoo)

may result in the original treatment cost being charged, as time has been specifically reserved for your appointment.

Consultations

Some treatments require a consultation prior to booking to assess suitability and create a personalised treatment plan.

Results

Results vary from person to person and are influenced by factors such as skin condition, lifestyle, consistency, and home care.

While we provide expert recommendations and results-driven treatments, specific outcomes cannot be guaranteed.

Medical Information

Please inform us prior to your appointment if there have been any changes to your medical history, medications, allergies, or skin condition.

This ensures your treatment is both safe and appropriate.

Aftercare Responsibility

Following your prescribed aftercare is essential to achieving optimal results.

We are not responsible for outcomes where aftercare advice has not been followed.

Feeling Unwell

If you are feeling unwell, we kindly ask that you reschedule your appointment, providing as much notice as possible.

Services

Due to the nature of our treatments, results can vary.

If you have any concerns, please contact us within 7 days of your appointment so we can provide support.

Refunds for services are not typically provided and will only be considered in cases of significant adverse reaction, at management discretion. Supporting documentation may be required.

Products
  • Adverse Reaction (within 14 days): Replacement or refund (with evidence)
  • Change of Mind (within 7 days): Store credit or exchange (unused and unopened)
  • Faulty Packaging (within 14 days): Replacement provided

Proof of purchase is required for all returns.

Gift Vouchers

Gift vouchers are non-refundable and cannot be exchanged for cash. Any remaining balance can be used toward future treatments or products.

A $3 Sustainable Salons fee is applied to all services over $50.

This contribution supports our partnership with Sustainable Salons by:

  • Diverting up to 95% of salon waste from landfill
  • Recycling materials and resources
  • Community programs and job creation
  • Ongoing sustainable initiatives within the beauty industry
